Electronic consignment notes on smartphone: how the Vchasno.TTN app simplifies drivers’ work

When working with electronic consignment notes (eTTNs), carriers are often forced to sign documents «in the field», processing cargo with a weak signal or no internet connection at all. To work effectively with electronic consignment notes in such situations, the Vchasno company has released the Vchasno.TTN mobile app. In this article, we will explain how it works and how it benefits drivers.

How do drivers work with electronic consignment notes?

Since the introduction of eTTN in Ukraine, freight companies have increasingly been issuing electronic consignment notes in electronic form. They help businesses save money, securely store freight documents, and control their circulation.

By law, electronic consignment notes are signed by the sender, carrier, and recipient. While managers of transport or logistics companies can conveniently issue electronic consignment notes in the Vchasno.TTN web office while working in the office, drivers often encounter difficulties during transportation. In particular:

  • it is usually difficult for them to use digital services — to log in, sign documents with e-signatures, etc.;
  • they are forced to work with electronic consignment notes in warehouses or in the field without stable internet access.

The Vchasno.TTN app helps to overcome these difficulties. It is primarily aimed at simplifying the work of drivers with electronic consignment notes during freight transportation.

An electronic consignment note is a complex document with several signatories, one of whom is the driver, who is constantly on the road. That is why we have created an app with the simplest possible registration and interface: a signature in two clicks.

Advantages of Vchasno.TTN for drivers

The Vchasno.TTN app is easy to use. The entire cycle of working with electronic consignment notes — from creation to signing — takes place in a single interface. To sign an e-document, drivers do not need to switch between apps or obtain an electronic signature separately.

Even drivers who rarely use digital services can work in the app. Let’s take a closer look at the main features of Vchasno.TTN.

📲 Registration in the service

Drivers register in the app using their phone number. They do not need to log in via email or other services — they just need to enter their phone number and confirm it. The procedure takes up to 10 seconds, so drivers can register on the road, at the warehouse, or anywhere else with internet access.

🖊️ Obtaining an electronic signature for working with electronic consignment notes

During registration, the driver automatically receives a qualified electronic signature, which he uses to sign electronic consignment notes. To do this, he:

  • logs into the application via the Diya or Privat 24 services;
  • creates a PIN code for future logins to the application;
  • gains access to the work cabinet, which displays all current electronic consignment notes.

📥 Receiving electronic consignment notes for signature

When a driver receives a new electronic consignment note for signature, they receive a notification. The application displays a complete list of active electronic consignment notes. The driver can sign or reject each of them. If they work with a large number of consignment notes, they can sign them in bulk.

The delivery address is displayed for each electronic consignment note. This helps drivers who work with consolidated shipments to plan their route and determine which shipment a particular consignment note belongs to.

✍️ Signing electronic consignment notes

To sign an electronic consignment note, the driver does not need to download a key or use «Dіia.Signature» or other third-party services. The driver only needs to use Face ID or a fingerprint. He signs an electronic consignment note in two clicks.

The Vchasno.TTN app allows drivers to:

  • sign electronic consignment notes in a bulk at the loading point;
  • optimize routes for consolidated shipments;
  • quickly unload and sign e-docs at the customer’s premises.

Drivers can work with electronic waybills without a Wi-Fi signal, using only mobile internet. This allows them to present electronic documents for the cargo to security guards at the receiving company’s checkpoint under any conditions, sign additional documents in case of data clarification, etc.

How Vchasno.TTN simplifies document flow in companies: the experience of Vchasno customers

Ukrainian companies have already appreciated the advantages of working with electronic consignment notes in the Vchasno.TTN service.

Each company implements eTTN on a different scale, depending on its own business needs. For example, for the logistics company Ekol Logistic, the transition to eTTN was one of the stages in the implementation of electronic document management.

An important point is the ability to comply with the requirements for returning documents and ensuring timely payment for services. Thanks to eTTN, we see a significant improvement in discipline in these areas. It also allows us to convert the entire package of carrier documents into electronic format. Until now, electronic consignment notes were the missing element that delayed the full transition to electronic document management, despite the fact that 90% of other documents were already in electronic form.

A typical situation in the logistics business is the introduction of eTTN to optimize a specific business process in a company. For example, with the transition to eTTN, the logistics company Kuehne + Nagel optimized its work with accompanying documents, in particular, acts.

The Vchasno.TTN service is well thought out. If there is any act, it can be created by both the shipper and the consignee. The driver does not need to create acts; he can view or sign them from his mobile phone.

The Vchasno.TTN mobile app is an indispensable tool for drivers. It not only simplifies working with electronic consignment notes, but also ensures uninterrupted logistics even without constant access to the internet. Thanks to the app, drivers can sign electronic consignment notes in bulk, optimize routes, and unload quickly. In case of inspections, they always have access to the necessary documents.
