Implementation Results: Vchasno.EDO in the Seller Identification Process
Within the first 1–1.5 months after launch, approximately 25,000 sellers completed digital identification on the marketplace and signed the required document.
The success of this case lies primarily in the fact that the process withstood real production load: tens of thousands of signatures, different signatories, different regions, and different levels of digital maturity among sellers.
The integration with Vchasno was implemented in approximately two weeks. For a process that effectively had to be designed and built from scratch, speed was critical. In such situations, what matters is not only the solution itself but how quickly it starts operating in a live environment. For a business, launching a new process on time — without delays, downtime, or compliance risks — is often decisive.
There were occasional edge cases, but against the backdrop of 25,000 signed documents, their share was minimal. In those cases, the Vchasno team quickly joined through customer support, resolving requests without affecting the overall process pace.
Before the Change: Why a Manual Process Becomes a Risk for a Marketplace
To implement automated seller identification and document signing, Prom did not simply “switch from one tool to another.” Through integration with Vchasno.EDO, a new process was created — one that had not existed before.
If we imagine a fully manual alternative at this scale, it quickly becomes unmanageable:
- sellers enter registration details manually, potentially with errors in names or codes;
- the platform team spends time verifying, clarifying, and correcting data;
- documents must be generated, delivered, and signed;
- statuses must be tracked manually: who signed, who has not;
- the document must be signed by the business owner, not the account manager processing orders in the seller cabinet, which adds complexity.
At the marketplace level, this results in two core problems.
1. Data Quality in Seller Identification
When seller details are entered manually, errors become inevitable rather than exceptional. Across tens of thousands of counterparties, even a small error rate turns into hundreds or thousands of cases that must be handled manually.
2. Signature Status Control
If signature status is not synchronized between systems and does not appear in the seller’s dashboard, the platform team must manually follow up, while the seller does not clearly understand whether the task is completed.
That is why Prom defined the task as ecosystem-level from the start: not simply how to sign a document, but how to build a system embedded into marketplace workflows and capable of operating at scale.
The Challenge: Tens of Thousands of Sellers, Different Signatories, and Full Status Control
Prom works with a seller base of approximately 56,000 accounts. In a digital seller identification process, several nuances are often underestimated.
- In many companies, the person who signs the document is not the same person who manages orders in the seller dashboard. Therefore, the system must route the document to the correct authorized signatory while simultaneously displaying real-time identification status inside the seller’s account.
- Seller registration details must be accurate and automatically populated without errors. Otherwise, the marketplace faces a wave of returns, clarifications, and manual corrections.
- The documents are legally binding. Once signed, the platform records the seller’s official information as valid at the time of signing, confirming the verified status of the business entity.
- Privacy control within a large internal team is also essential. Prom transfers access parameters so that only designated employees can view these documents, not everyone who works with documents across the company.
The Solution: Automated Digital Seller Identification via Vchasno.EDO Integration
Prom designed the seller identification process so that sellers complete it in several steps within their own account, while key actions are executed automatically through integration with Vchasno.
-
1Step 1. Initiating Identification in the Seller DashboardThe identification process is launched directly within the Prom seller dashboard. The platform displays a notification requiring confirmation of data for continued activity.
The seller enters a company registration code (EDRPOU or tax ID) and the email address to which the identification document will be sent for signing. -
2Step 2. Verification and Automatic Data Retrieval via YouControl1After basic data entry, Prom automatically connects to the YouControl service to retrieve official information about the sole proprietor or legal entity. This eliminates manual entry of registration details and reduces the risk of errors in company names, codes, or other data.
The retrieved information is displayed in the seller’s dashboard. If the data is correct, the seller confirms it and agrees to generate an identification request and/or data confirmation. -
3Step 3. Automatic PDF Generation Based on a TemplateBased on the confirmed data, Prom automatically generates a PDF document using a predefined template. All registration details are inserted automatically. This one-page statement confirms the correctness of identification data and is ready for signing.
-
4Step 4. Sending the Document to Vchasno.EDO for SigningThe generated document is transferred to Vchasno.EDO via API integration and sent for signing to the designated signatory specified during identification.
At the same time, Prom transmits document privacy parameters. This ensures that only designated users can access these requests within Vchasno.EDO, limiting exposure of sensitive data and preventing accidental or duplicate signing. -
5Step 5. Signing with a Qualified Electronic SignatureThe seller receives an email notification with a link to sign the document. The entire electronic signature process is completed remotely using a qualified electronic signature (QES).
-
6Step 6. Automatic Status SynchronizationProm regularly checks the signing status in Vchasno.EDO. Once the seller signs the document, the identification status is updated automatically.
The seller dashboard on Prom displays confirmation that digital identification has been successfully completed. Even if the signatory differs from the dashboard user, the system shows the final status in real time.
Implementation Approach: Fast Communication and Custom Adaptations
The Prom and Vchasno teams worked in an intensive collaboration mode, which enabled project delivery within a short timeframe. Instead of long email chains, a dedicated working channel was created where product managers and developers on both sides resolved technical questions quickly.
The integration was not limited to connecting out-of-the-box functionality. While the core capabilities of Vchasno.EDO covered most requirements, certain elements were adapted for the Prom scenario. In particular, API-level changes were implemented to ensure correct seller data transmission and accurate synchronization of signing statuses between systems.
Special attention was paid to PDF generation. Several options were considered, including generating documents on the Vchasno side. Ultimately, Prom chose to generate the PDF within its own system and transfer the ready-made document for signing via Vchasno.EDO integration.
This approach demonstrated architectural flexibility: the process could be built according to the marketplace’s internal technical requirements.
What Changed for Prom
Prom obtained a fully manageable process that scales without proportional growth in manual effort.
- Fewer Data Errors
Automatic retrieval of seller details via YouControl eliminates critical manual data entry. This removes a common bottleneck in high-volume marketplace operations, where data errors create additional workload for support and operations teams. - Signature Status Control Without Manual Follow-Up
The platform automatically sees the document signing status and displays it in the seller’s dashboard. Sellers clearly understand when identification is complete, without contacting support. - Controlled Access Within a Large Team
Prom automatically restricts access so that only designated employees can view identification documents. This is essential for internal compliance and access management in companies where many employees work with documentation. - Scalable Process at High Volume
25,000 signatures within 1–1.5 months demonstrate that the process works at scale. At such volumes, any semi-manual process would either break down or require significant team expansion. - Fast Go-Live Under Business Deadlines
Integration delivery in approximately two weeks was a critical success factor. For Prom, this case represents a positive experience due to the combination of speed and operational stability at scale.
What’s Next: Sequential Signature Scenarios
Prom did not stop at digital seller identification. After launch, the team began developing a new workflow for transferring store ownership on the platform.
In this case, strict signature sequencing is required: first, the current owner signs the transfer statement, and only then can the new owner sign the acceptance document.
This logic is implemented through Vchasno integration. The system automatically controls the signing route without manual validation, ensuring compliance with legal requirements while maintaining process scalability.
Ecosystem for Sellers: Documents, Signatures, and Fiscalization
The cooperation between Prom and Vchasno extends beyond seller identification.
First, Prom offers receipt issuance through Vchasno.Kasa, enabling sellers to fiscalize sales in compliance with local regulations.
Second, Prom uses Vchasno for electronic document exchange with sellers regarding platform services. This includes acts and other primary accounting documents generated by the accounting department and signed electronically with counterparties.
For other marketplaces, this case highlights an important point: integration built for one critical process can become part of a broader digital ecosystem where sellers manage multiple compliance and document workflows in a single familiar environment.
Conclusion
This case demonstrates how automated digital seller identification, built on Vchasno.EDO integration, delivers measurable operational results in large-scale marketplace environments.
Automated document generation reduces data errors. Legally binding electronic signatures eliminate manual file exchange. Status synchronization between systems ensures full transparency. Privacy settings protect sensitive data inside large teams. Most importantly, the solution scales — handling tens of thousands of counterparties without proportional growth in manual workload.
This is not just another integration. It is a scalable B2B infrastructure solution for marketplaces operating in high-volume e-commerce environments, where digital identity verification, electronic document signing, and process automation directly impact operational efficiency and risk management.
