On the start of digitalization with Vchasno.EDI
In 2017, our company recognized the need to enhance its growth and performance. Furthermore, we required a convenient tool for exchanging prices, understanding stock balances, and accessing exact pricing information. This led us to the decision to transfer the goods ordering process to electronic document workflow. In the same year, we successfully transferred three documents: an order, a shipment notification, and a price list.
In 2019, it became evident that the existing set of documents was insufficient and that a transfer of all primary documents to Vchasno.EDI was necessary.
Initially, we identified that processing primary documents took in excess of 50 minutes, with an average of 10 employees per 100 orders. For comparison, the current processing time for an order is three minutes. This is due to the fact that Vchasno.EDI is a structured data exchange, which has resulted in all processes with documents in the accounting system being fast and automated. This has also ensured that employees’ working time is not wasted.
Secondly, we previously encountered a situation that highlighted the necessity of primary documents in Vchasno.EDI. During a tax inspection at one of our companies, we were required to submit a full truckload of paper documents to the tax office to substantiate our transactions. Consequently, we digitized the delivery note with the protocol of disagreements and began utilizing Vchasno.EDI to sign contracts and supplementary agreements with suppliers.

The results of EDI implementation
Optimizing business processes in Vchasno.ODE
Initially, contracts were the first document type to be implemented with the Vchasno.ODE service. However, over time, we expanded the scope to include invoices, work completion certificates, and reconciliation statements. In total, over 260,000 documents were sent during the year of active use of the service.
This has significantly streamlined the company’s business processes while reducing the number of human errors. Despite the considerable volume of work, there is no need to involve human resources in these routine processes.

Enhancing the ecosystem - Vchasno.Kasa PRRO
If you are planning to digitize your business, it is essential to do so in a systematic manner. In 2020, we began working with Vchasno.Kasa, and by 2022, we had fully transitioned from physical cash registers to software-based RROs. Currently, Rozetka has over 770 cash registers, with an average of over 2 million receipts issued monthly.
We utilize fiscal receipts at our own points of delivery, as well as with our franchisees and marketplaces.
It is beneficial that we do not need to develop our own solutions and invest additional resources, since Vchasno.Kasa has ready-made solutions.
