SC Kuehne+Nagel was among the first companies to actively test the Vchasno.TTN service, thus accelerating the calculation of cargo transportation. What was the motivation for this?

Kuehne+Nagel is a fairly large company with complex business processes. The usual way of working is time-consuming and resource-intensive to change or rebuild. Considering the forthcoming mandatory implementation of eTTNs, it is crucial to prepare in advance.

Another factor that motivated us was our customers. They were interested in eTTN and, as a result, some of them began implementing it, which has enabled them to become much more advanced in this area. As a service company, we highly value our customers and endeavour to keep pace with them and remain abreast of the latest trends.

The process of switching to eTTN is more complex and requires a significant input of effort. The specifics of the process vary from one company to another, depending on factors such as the number of participants, internal procedures and other considerations. Nevertheless, the outcome of the transition will undoubtedly bring numerous advantages to the company, carriers, and customers.

Why should you start implementing eTTN now?

In accordance with Resolution No. 629, dated 30 May 2024, the eTTN will become a mandatory requirement for all transportation participants. Over the next two years, this pilot project will be implemented by the Ministry of Communities, Territories and Infrastructure Development.

The objective of eTTN is to save time and resources, minimize the human factor and corruption risks. The use of digital consignment notes will facilitate the rapid exchange of information between all parties involved in the transportation process, thereby reducing the risk of document loss or damage.

It would be prudent to implement eTTN as soon as possible, as it represents a valuable opportunity to test the service free of charge, prepare employees in advance, and identify and resolve any potential issues.  Furthermore, eTTN represents the first step towards eCRM.

What are the advantages of electronic consignment notes over paper ones?

There are several advantages to using electronic consignment notesrather than paper ones. As an example, a single paper copy is sufficient for an electronic consignment note, which can then be discarded. The electronic version of the consignment note requires only one signature, compared to three for the paper version.

The electronic consignment note is accessible to all participants and it is not possible to misplace or damage it.

What difficulties were encountered during the implementation and testing of eTTN?

The testing process is generally carried out step-by-step. The process of creating and signing TTNs is straightforward. We were able to quickly understand the procedure and provide training to our team. Going forward, our objective is to automate the process to eliminate the need for us to create everything manually.

Working with statements was more challenging initially, requiring an adjustment period. However, the service is well designed and user-friendly. If any kind of statement is required, it can be created by both the consignor and the consignee. The driver is not required to create statements; he can view or sign them from his mobile phone.

Furthermore, in light of the ongoing situation in Ukraine, there are still concerns regarding the stability of power supplies and internet access. When the driver is on the road or at a remote warehouse, certain difficulties may arise. For instance, our warehouses are equipped with a generator and guest WiFi, but it is not possible to predict when and where the driver will unload. This is why the issue is currently being addressed by many companies.

Until eTTN becomes a mandatory service, we will maintain communication with customers who are also interested in testing the service, with the intention of conducting these tests together.

The eTTN service will undoubtedly become as widely used as ODE over time. It is fair to acknowledge that all document management services were initially viewed as challenging and difficult to understand.
